Boehringer Ingelheim is currently seeking a talented and innovative Executive Administrative Assistant to join our Process Product Development department located at our Bedford, OH facility. As a Executive Administrative Assistant , you will provide administrative, secretarial and office management support for the Vice President of PPD. Provides secretarial support including filing, correspondence and preparation of presentations, handling executive staff mail, email, calendars, coordinating of appointments or meetings upon request. Candidate must be able to work independently with little or no supervision and must be exceedingly well organized, flexible and thrive in a fast paced work environment. This position handles confidential issues on a regular basis and must be able to maintain the confidentiality of executive decisions and information. Additionally, this role will focus on streamlining work and improving the efficiency and focus of administrative processes in support of the PPD department.

Responsibilities:
- Primary responsibility is to provide clerical and administrative support to the Vice President of PPD. Will focus on streamlining work and improving efficiency and focus of administrative support for the department.
- Reads, routes and prepares return correspondence for the Vice President of PPD.
- Collects and analyzes data for the preparation of presentations for meetings with employees, senior BVL & BI executives, etc.
- Responsible for arranging all requirements for meetings, appointments and conferences including scheduling, refreshments/meals, travel, etc.
- Intercepts all incoming phone calls to the VP PPD to analyze which calls to put through; initiates telecommunications and video conferencing calls.
- Provides historical reference by developing and maintaining a filing system and recording or compiling and storing meeting discussions through meeting minutes.
- Makes travel arrangements and maintains travel schedules for VP PPD. Coordinates numerous weekly and monthly meeting arrangements.
- Prioritize and manage multiple projects simultaneously and demonstrates sense of urgency with follow through on issues.
- Anticipate the needs of the VP PPD, coordinating appropriate resources and people to support daily activities in addressing and resolving issues.
- Must plan, organize and coordinate the administrative needs of the VP PPD with a strong attention to detail.
Requirements:
- Associates degree in administrative science or equivalent required. Bachelor’s degree preferred.
- Minimum 5-7 years executive administrative experience in a corporate setting.
- High level of demonstrated integrity and confidentiality are primary requisites for the position.
- High level of proficiency in the use of Microsoft Office products including Word, Excel, PowerPoint & Access. Experience with project planning techniques and software are desired.
- Excellent communication skills, both oral and written, with experience and ability to interface with all levels of the organization including the executive leadership team.
- Ability to maintain a high level of professionalism and work with internal and external contacts.
